Terms and conditions
- Terms and Conditions for participation in the Western Suburbs String Orchestra
Membership and Payment
Membership of the orchestra is by audition and payment of the audition fee is required at the time of registration. Ongoing membership is dependent on prompt payment of term fees.
Respectful Conduct
All students and parents / guardians are expected to treat fellow musicians, conductors, volunteers, and staff with respect. Bullying, harassment, or exclusionary behaviour will not be tolerated.
Inclusion and Equity
The orchestra welcomes students of all backgrounds and abilities. We strive to create an inclusive environment where everyone feels safe and valued.
Safety and Supervision
Students must follow safety instructions and remain under supervision during rehearsals and performances. Parents/guardians are responsible for ensuring timely drop-off and pick-up.
Participation and Commitment
Regular attendance at rehearsals and performances is expected. Students are required to attend weekly rehearsals with exceptions of illness and school events. We ask students to be unpacked tuned and ready to play before the rehearsal start times.
Students are required to be attentive to all instructions from the WSSO director, conductors and other WSSO staff and volunteers.
Students should notify the coordinator in advance if they are unable to attend. Repeated absences may affect continued participation.
Behavioural Support and Exclusion
If students do not meet the behavioural expectations of WSSO or are unable to follow directions, their ongoing participation will be reviewed.
While we aim to support all students, the orchestra may not be equipped to meet intensive behavioural needs. If a student’s behaviour requires support beyond our capacity, we will work with families to explore alternative options.
Exclusion decisions will be made thoughtfully, in consultation with parents, and with consideration for everyone's safety and wellbeing.
Communication with Families
We value open communication with parents and guardians. Behaviour concerns will be discussed promptly, and families will be involved in decisions affecting their child’s participation.
Medical Emergency
In the event of a medical emergency, staff will take appropriate action including contacting emergency services and notifying parents or guardians. Parents must ensure that medical information provided to the orchestra is accurate and up to date.
Child Safe Policies (Queensland)
The orchestra adheres to Queensland’s child safe standards and policies. All staff and volunteers are required to comply with relevant legislation, including Working with Children Checks and mandatory reporting obligations.
Parent Contact Requirements
Parents and guardians must be contactable during rehearsals and performances. It is their responsibility to keep contact details up to date with the orchestra administration.
Media Release Agreement
Parents and students give the Western Suburbs String Orchestra permission to use works created by students in the course of their involvement, training and/or participation in any WSSO activity.
Images and recordings may be used, but are not limited to, WSSO publications, advertising material, web listings, websites etc.
By accepting this agreement, parents and students permit WSSO to use photographs, audio, or media of them in WSSO publications, presentations, or online marketing. No compensation will be provided by WSSO or third parties.
Please note: Guardians will always be contacted prior to a name being printed alongside a photograph.
Acknowledgment
By participating in the orchestra, students and families agree to uphold these behaviour expectations. This policy supports a positive experience for all members of our musical community.
